How to set the default document template on a SharePoint document library

Step-by-step instructions to assign a document content type as the default content type on a SharePoint document library.

The default document template on a SharePoint document library is defined as the document template of the first content type listed under the menu of the New button on the SharePoint document library.

The importance of the order of document templates listed under the menu of the New button on a SharePoint document library becomes apparent when you want to use the Create List Item action in a SharePoint Designer workflow to create a new document that is based on a particular document template.

While you can specify the content type that the Create List Item action should use when creating a SharePoint list item (that is, an item that is stored in a list, not a library), the Create List Item action automatically uses the default content type (or default document template) on a SharePoint document library when you use a SharePoint Designer workflow to create a document in the SharePoint document library and ignores any content types you specify for the Create List Item action.

Before you can set the order of document templates on a SharePoint document library and thus set the default template on the SharePoint document library, you must add one or more document templates to the SharePoint document library.

To change the order of document templates and set the default document template on a SharePoint library:

  1. Go to the SharePoint document library to which you’ve added several document content types.
  2. On the Settings menu of the SharePoint document library, click Document Library Settings.
  3. On the Customize page for the SharePoint document library under Content Types, click Change new button order and default content type.

  4. On the Change New Button Order and Default Content Type page, select the order you want the content types to appear in on the menu under the New button, and click OK.
    You should assign number 1 to the default content type.

    In Figure 2, the content type named Timesheet, which represents an Excel spreadsheet document template, is given number 1 and thus made the default content type on the SharePoint document library.

Now when you click the New button on the SharePoint document library, the content types should be listed in the order you specified, with the default content type listed first.

And if you now use a SharePoint Designer workflow to create a document in the SharePoint document library, the workflow will automatically use the first document content type listed on the SharePoint document library to create the document.
